Job Description
We are hiring! We are seeking an organized, proactive, and detail-oriented Legal Secretary to join our litigation team. This role is ideally suited to an outgoing , positively driven personality, that can confidently handle full A to Z legal secretarial tasks, both inhouse and out of office, being involved with relative activities relating to court clerk & probation responsibilities as well as with other Cyprus Government Authorities.
Main responsibilities included in the role:
– Providing secretarial support to team of lawyers (copies, scan and fax, emails, preparing letters etc) and anything else the lawyers and litigation department requires;
– Filling of documents and maintaining an organized filling system both in hardcopy and electronic form maintaining accurate and updates system at all times;
– Updating the Diaries of Lawyers court appearances both in hard copy and electronic calendar;
– Updating and informing clients of the progress of their cases/ answering department calls and handling calls for lawyers;
– Maintaining and updating internal CRM system (Zygos);
– Preparation of court pleadings, Applications etc;
– Preparation of land register pleadings, Applications etc;
– Preparation of inland tax registry pleadings, Applications etc;
– Preparing expense catalogue for purpose of court;
– Submitting applications through Ariadne (land registry, iJustice) etc;
– Supporting in the training of Legal Trainees and mentoring on new members;
– Coordinating with front desk for ordering stationery and department stock supplies;
– External responsibilities, if /where / when necessary (collecting / delivering mail from P.O.Box, court etc);
– Managing court applications and submissions of Affidavits, Pleadings, HE registrations in support to corporate department.
– Manage stamp procedures, stamp recordings in stamp book and update CRM of court expenses and relevant folders;
– Support in the training of colleagues regarding out of office activities.
What we are looking for:
-Degree in Secretarial studies or Office Administration;
-Strong Typing and shorthand skills in Greek and English;
-Clear and accurate communication skills in both Greek and English;
-Proficient in the use of Microsoft Office;
-Experience 2+ years;
-Focused, respectful and polite and with a motivation to help and learn;
-Good organizational and prioritization skills with attention to detail;
-Must have a valid driving license.
